not to much organization heaped onto me as i do have other commitments, so that means no large scale event stuff, i live off the beaten track so it cant be a one day event and the hordes leave for home, this will have to be a weekend job, accommodations will be listed for visitors to arrange for themselves.
so apart from getting together a small list of places for visitors to bed down for the night or two (not sure if should do one day or whole weekend), i have absolutely no idea what to consider as activities for the event.
its not gonna be a massive event, im just wanting to set a small meet n greet sort of weekend. no rented hosting place. |

We did this over the summer and had a wonderful, wonderful time.
We did ours as a camping event, though, there was only one family that actually rented a room in our area, although we did list available accomodations.
We did end up with 6 people staying in our house/cabin and 4 camping in our back yard, hehehe, but to be quite honest, it really just added to the fun of the whole event - it was a blast!
What we did was to solicit donations from other coiners and we got a wonderful selection, especially from a certain person here with her incredible sig items, which were a huge hit! We received about 20 coins, I don't know how many pins, and 30 sig items total and we placed the pins in caches that were created for the event along with a little piece of paper with a number on it for the first to find of that cache and then we did a drawing for coins with those bits of paper.
We actually put out 20 new caches for the event, but our area was VERY cache poor so it was needed and it wasn't hard to do. We came up with some great new caches for our area due to our event
Friday night we had our meet and greet and a campfire and got to know each other, then Saturday morning at 9 we all met and gave out the list of the new caches and at 9:30 everyone was off in a mad dash for FTF and a day of caching . We all met back at 5:30 and then did a drawing for the coins and then we just chilled and relaxed and laughed and had a good time that night until late late late
Sunday everyone just enjoyed the day and packed up getting ready to go.
It was a success, and except for placing the caches, which was needed and fun for us, there was relatively little planning involved. Everyone brought their own food and drink and we brought a bigger grill and a little picnic tent, you know, those white ones without sides, jsut so that we had a place in case the weather acted up, but on the contrary, it was absolutely beautiful.
We had such a good time that we're planning on doing it again next summer! It was great! We don't regret it at all, except that we were SOOOOO tired afterwards, lol!
Met some wonderful people, though!
Solan and Elle77 and s.p.a.M. and Hasseper were there, there were many, many others, too, but those are the ones that come here or to the gc.com forum

thanks for the great advice and info naomi. im definantly going to set an event for next year, so i will be starting to plan whats needed to be done and to be got. |

Good for you, go for it. I think it was earlier this year, or it may have been last year where someone held an event on St Kilda, posted as the most Westerley in the UK, you could do the most Northerly. You may not get many English Cachers but I am sure you will get support from the Scottish contingent - you may want to consider posting on the geofrees forum, there are some English Scottishwannabees that hang out there and travel miles to attend the Scottish events |

there was someone on the other geo-forum that had hosted some "extreme" events - these being the extreme as far west of the uk and the most extreme as far south of the uk (i think it was those), and he was talking up interest for another extreme event as the extreme north of the uk, to be hosted on the hebrides, so i dont think i would be qualified to claim that i would be the most northern uk event.
anyway, i aim to get a few more caches hidden around here to make it worthwhile for visitors before i publish the event page. also i do need to get some ideas sorted out for the event. |

Have you thought of contacting your local Chamber of Commerce - local businesses might help with sponsoring your event. You could try approaching visitScotland and show them your Garmin coin to generate some interest. |

the thing is, i cant even consider making it anything except a small meet and greet event, i just cant consider giving up lots of my time planning a big gig like some of the other larger yearly events like the gathering in the glen. i am not a person who has good organization skills or even the time to do something large scale like that.
i just want to lure a few caching folk up here to just socialise and "big up" caithness for cachers and newcomers alike.
basically im just going to publish the event and promote it abit on a few places like here, give info for the camping site and one or two other places to kip for the night and just plan for a night at a pub and the main day will be more caching stuff. |

I didn't mean to infer that you "big it up"- besides being all the way up there you ain't goin to get a huge crowd. But on a small scale some of the local businesses could be interested, after all most cachers will want somewhere to stay at least one overnight, and most will want to eat and drink while they are there. They might be willing to help you out with a few containers for caches, or some small items for swag. Placing caches is a big commitment both in time and money, don't be afraid to ask for help. The worst thing anyone is going to say is "no", and you might be pleasantly surprised how interested and helpful people will be. If you are shy about approaching people directly draft a letter out, work on it a bit and when you are happy find a kind person who will make a few copies for you and get some friends to drop them around the town. |
